Do You Know How To Set Up An Audio Conference Bridge On Microsoft Teams?
Microsoft Teams has a lot of features and capabilities. Learning to take advantage of them does take a little time and effort, but it will help you and your team become more effective users.
Setting Up An Audio Conference Bridge
Double Check The Features Available In Your Region:
While audio conferencing is available in Florida and across the US, there are certain features (automatic phone number assignment and toll numbers) that have limited availability based on city and region.
Get The Right Licenses:
Those scheduling or leading any audio conferences will need a license, which costs $4/user.
Assign Licenses:
Make sure to only give licenses to those that need them. This would be team leaders, managers, and the executive level or leadership of the business. There’s no sense in paying for a license for an entry-level employee that won’t be scheduling or leading meetings.
Find Service Numbers For Conference Bridges:
You can’t use specific phone numbers, so you will have to get toll or toll-free service numbers, via one of three sources:
- Microsoft Teams Admin Center: Follow these steps to determine if you can get your service number this way.
- Port Existing Service Numbers: If you have existing numbers with a current service provider or phone carrier, see Transfer phone numbers to Teams or Manage phone numbers for your organization to find out how.
- Request New Numbers: If you can’t get your new service numbers using the admin center, you will need to download a form and send it to Microsoft.
- Assign Service Numbers To The Conference Bridge: The next step is to take the service numbers and assign them to the conference bridge, following these steps in the Microsoft Teams admin center.
Set Languages:
Your next step is to make sure your auto-attendant will be speaking the correct language for your attendees. You can do so in the Admin Center:
- From the Dashboard, go to Meetings > Conference bridges.
- Select the conferencing bridge phone number, click Edit, and then choose the default language.
Configure the Conference Bridge Settings:
Make sure to review the default settings, such as entry/exit notifications, PIN length, etc. If they don’t suit your needs, you can modify them in the Admin Center:
- From the Dashboard, go to Meetings > Conference bridges.
- Select Bridge settings. This will open the Bridge settings pane.
Set Up Dial-In Numbers For Meeting Leaders:
Anyone who you expect to lead or schedule meetings will need their own dial-in number:
- From the Dashboard, click Users, select the user from the list, and select Edit.
- Select Edit next to Audio Conferencing, and then in the Audio Conferencing pane, choose a number in the Toll number and Toll-free number lists.
Customize Meeting Invitations:
If the default meeting invitation doesn’t work for you, you can add additional text and links as needed by visiting the customize meeting invitations page.
